Belle Maison Agency is now hiring a Personal / Executive Assistant for Montecito Principal. This is a hands-on position that works directly with the Principal to support his/her daily operations, ensures that his/her schedules run smoothly and efficiently, and all of his/her business and personal needs are met

Responsibilities :

  • Functions as the point of contact and gatekeeper for the Principal
  • Screens phone calls and correspondence
  • Manages Principal’s calendar to organize and schedule business and personal matters; manages own calendar to keep organized and follow-up on items
  • Coordinates and manages complex domestic and international travel plans, including private or commercial air carriers, hotels, ground transportation, and restaurants. Prepares and maintains detailed itineraries; makes changes as requested
  • Coordinates tasks, activities, and events with other staff members, including household staff
  • Prepares, proofreads, and mails correspondence
  • Runs errands, makes purchases, and assists with packing and other preparations for travel
  • Schedules travel, doctor, and dentist appointments for the kids
  • Manages expenses, reconciles monthly credit card statements, and prepares and submits expense reports
  • Orders office supplies and performs basic office tasks
  • Additional duties as assigned
  • The employee may occasionally lift and /or move up to 10 pounds

Qualifications:

  • 3 years of experience providing personal/executive support to a high net worth individual
  • High School Diploma or GED; college degree is preferred but not required

  • MS Windows, Word, Excel, PowerPoint, Outlook
  • Able to communicate effectively and with correct grammar in English (oral and written)
  • Integrity; able to maintain confidentiality

  • Flexible work schedule to meet changing needs; available weekends, holidays, and 24/7 as needed

Compensation

  • $80-85k/year, Payroll
